Booking Confirmation

Travel Insurance

Comprehensive travel insurance, including medical and cancellation coverage, is mandatory for all guests.

1. General Terms

These Terms of Service govern your use of Awili Safari Adventures' website and booking of safari tours. By accessing our website or making a booking, you agree to be bound by these terms. If you do not agree, please do not use our services.

Awili Safari Adventures reserves the right to modify these terms at any time. Changes will be posted on this page with an updated effective date. Your continued use after changes constitutes acceptance.

2. Booking Process

To book a safari, you must complete our online booking form or contact our team directly. A booking is considered confirmed only after we receive your signed booking form and the required deposit.

We will send a confirmation email with your itinerary, invoice, and pre-travel information. Please review all details carefully and inform us of any discrepancies immediately.

3. Payment Terms

A non-refundable deposit of 50% of the total tour cost is required to confirm your booking. The remaining balance is due 60 days prior to the tour start date.

Payments can be made via bank transfer, credit card (Visa, MasterCard), or secure online payment link. All banking fees are the responsibility of the client.

Late payments may result in cancellation of your booking and forfeiture of deposit.

4. Cancellation and Refunds

Cancellations must be submitted in writing via email. The following fees apply based on notice period before the tour start date:

  • More than 60 days: Deposit forfeited (50% of total cost).
  • 30-60 days: 50% of total tour cost.
  • 15-29 days: 75% of total tour cost.
  • Less than 15 days: 100% of total tour cost (no refund).

In the event we cancel a tour due to unsafe conditions, insufficient participants, or force majeure, you may choose to reschedule or receive a full refund of all payments made.

5. Travel Requirements

It is your responsibility to ensure you meet all entry requirements for the countries visited, including valid passports (with at least six months validity), visas, and vaccinations.

  • Passport must be valid for at least six months beyond your intended return date.
  • Visa requirements vary by nationality; we recommend checking with the relevant embassies.
  • Yellow Fever vaccination certificate may be required for entry into certain countries.
  • Malaria prophylaxis is strongly recommended for all itineraries.

Comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, and personal liability is mandatory. Proof of insurance must be provided before departure.

6. Safari Conduct

To ensure a safe and enjoyable experience for all, guests must adhere to the following guidelines:

  • Always follow the instructions of your guide and camp staff.
  • Respect wildlife: maintain a safe distance, never feed or attempt to touch animals, and keep noise to a minimum.
  • Respect local communities and cultures: ask permission before photographing people, dress modestly when visiting villages, and be mindful of local customs.
  • Environmental responsibility: do not litter, stay on designated roads and trails, and conserve water and energy.
  • Safety: inform your guide of any medical conditions or concerns, and always use seat belts in vehicles where provided.

7. Changes & Modifications

We understand that plans may change. Requests to modify your itinerary (dates, destinations, accommodations) are subject to availability and may incur additional fees.

All modification requests must be submitted in writing. We will do our best to accommodate changes, but cannot guarantee availability, especially during peak season.

Any price differences resulting from modifications will be invoiced or refunded accordingly.

8. Photography & Privacy

You are welcome to take photographs for personal use during your safari. However, please respect the privacy of others.

  • Always ask permission before photographing local people or community members.
  • Commercial use of photographs taken during the safari requires prior written permission from Awili Safari Adventures and any individuals featured.
  • We may use photographs taken during our tours for promotional purposes unless you notify us in writing that you do not consent.

9. Liability & Insurance

Awili Safari Adventures takes every precaution to ensure your safety, but adventure travel involves inherent risks. Please read carefully:

  • We are not liable for any injury, illness, death, loss, or damage to personal property caused by circumstances beyond our reasonable control, including but not limited to acts of God, political unrest, natural disasters, or wildlife behavior.
  • We are not liable for any losses resulting from delays, changes, or cancellations due to weather, flight schedules, or governmental actions.
  • All guests must carry comprehensive travel insurance that includes medical evacuation and repatriation. Proof of insurance is required before the tour begins.
  • Our guides are trained in first aid and emergency procedures, but we are not a substitute for professional medical care.

By booking with us, you acknowledge that you have read and understood the risks involved and accept responsibility for your own safety and well-being.

10. Governing Law and Dispute Resolution

These Terms of Service shall be governed by and construed in accordance with the laws of Kenya. Any disputes arising from these terms shall be resolved through the courts of Nairobi, Kenya.

We encourage open communication to resolve any concerns. Please contact us first if you have any issues before pursuing legal action.
